A weekend office move in Udyog Vihar works when the weekday evenings take the packing, Friday evening takes the IT shutdown, and Saturday is kept for loading, the drive and unloading inside the gate the building has approved. Book a second weekend as well between July and mid-September, because Friday and Saturday downpours have already waterlogged or jammed the estate's roads.
This guide covers the practical side: which kind of building you are in, where the truck stands, which weeks and hours to avoid, and how the computers should travel. The permissions and paperwork, from GST to the fire certificate, are in our Udyog Vihar rules guide, so they are not repeated here.
What kind of office are you leaving or joining?
Udyog Vihar is an industrial estate, not an office park, and that shapes every move. HSIIDC, the state corporation that developed it, lists IT and IT-enabled services among its main activities alongside garments and auto parts, and Wikipedia puts the number of industrial and commercial units across its phases above 1,200. Offices therefore sit in three quite different kinds of building:
| Building | Who says yes to the move | Where the truck usually stands | What moves |
|---|---|---|---|
| A building on its own plot, used by one company | The plot owner, through your lease | Inside the gate, if the compound allows | Everything: furniture, IT, files, pantry |
| A block shared by several tenants | The facility or security team | A loading point the facility team names | Your floor's contents, through a shared lift or stair |
| A managed or coworking floor | The operator's centre team | Wherever the operator allows, often a fixed slot | Usually IT, phones, files and personal items only |
The third kind is common here. 91Springboard, for example, runs a hub at 90B Udyog Vihar and lists parking, power backup and round-the-clock working among its amenities. In a centre like that the desks and chairs usually belong to the operator, so the first job is a written list of what is yours. A company moving out of coworking into its own floor often needs new furniture delivered to the new address, which is a separate job from the move itself.
Our Udyog Vihar page covers export units and stockrooms in the estate; this post is about desks, files and computers.
Where will the truck stand while it loads?
Inside your own gate, wherever the plot allows it. Most units in the estate sit behind a gate on their own plot, which is the estate's biggest advantage for a move: the truck can back in rather than wait on the road. At the survey we check that the gate is wide enough and that the compound has room to turn. Ask your own security team which hours the gate is staffed on a Saturday.
In a shared block, ask the facility team three questions and get the answers in writing for both buildings:
- To do: Where can the truck wait, and for how long?
- To do: Can the goods lift, or the service lift, be held for our slot?
- To do: Will the gate and the lift lobby be staffed on the day we have chosen?
The driver also needs a way out. In May 2019, NBM&CW reported that GMDA had decided to build and widen three estate roads that meet Old Delhi Road at Shankar Chowk, Shyam Chowk and Atlas Chowk. That report is old, so we look at the roads as they stand during the survey, but the three junctions are still the names we give a driver.
Expect construction on those roads in the coming years. On 6 October 2026, Swarajya reported that Gurugram Metro Rail had floated a Rs 1,662 crore tender for the corridor from Sector 9 to Cyber City. Its stations include Udyog Vihar Phase-4 and Udyog Vihar Phase-5, and the contract covers a 1.2 km double-decker on Old Delhi Road, with a flyover below and the metro above. Bids were due between 9 and 18 November, the work has 30 months to finish, and the contractor must agree diversion plans with the traffic police and post marshals and cones. For a move in 2027 or 2028, check where the barricades stand before you fix the date.
Why a weekend, and which hours still matter?
A weekend gives you empty floors, idle lifts and no staff waiting at their desks. It does not lift the city's limits on trucks. Those come from a traffic police note kept on GMDA's server: designated areas are closed to commercial vehicles between 8 and 10 am and again between 5 and 9 pm. Because the note is undated and silent on weekends, confirm the timings with the traffic police and plan the truck's run for the hours in between.
That gives a Saturday shape that suits most offices: the truck enters after 10 am, loads inside the gate and is at the new building, or inside its compound, before 5 pm. A larger office that cannot fit into one Saturday can be split. The area page describes how we handle a working unit: stores and the front office are packed while the rest carries on, and the working floor moves last. Squeezing it all into one day takes more hands than spreading the same job across several evenings, so tell us early which you prefer.
Which weekends does the weather spoil?
Rain is the bigger risk in Udyog Vihar, and it has not spared weekends. These are the dated reports we used:
| Day | What was reported | Source |
|---|---|---|
| Saturday, 19 Aug 2023 | Sector-18 road, Sarhaul and Udyog Vihar on the traffic police's list of affected points; Gurugram tehsil had 62 mm by 8 am | The Tribune |
| Tuesday, 4 Aug 2026 | A commuter took an hour from an office in Udyog Vihar Phase 3 to Shankar Chowk, normally five minutes; police named waterlogging at Udyog Vihar among the causes | Business Today |
| Friday, 4 Sep 2026 | Udyog Vihar among the routes where traffic slowed after heavy rain, with more showers forecast for Saturday | NewsX (ANI) |
The Friday entry is the one office managers should note. Friday evening is when the IT is shut down and the first cartons go down to the gate, and a storm then can push the whole plan back by a day. Our practice in the monsoon is to keep files and stock on pallets inside the office until the truck is at the gate, and to hold a second date for any move booked between July and mid-September.
Heat sets the other limit. Amar Ujala reported 44.6 °C for Gurugram on 19 May 2026 and called it the season's hottest day so far. On days like that, electronics are loaded in the morning and are never left in a parked truck through the afternoon.
How should the computers and servers travel?
As a sequence your IT team controls, with the movers handling only switched-off, labelled hardware:
- Backups first. Your IT team checks the backups and keeps the data; the movers carry the hardware, not what is stored on it.
- Shut down in order on Friday evening: servers and network gear last, after every desktop is off.
- Label to the new floor plan. Each workstation, screen and phone carries the floor and desk number it is going to, and accounts and HR files go into numbered boxes, cabinet by cabinet.
- Pack in padded cartons, with cables bagged and taped to the machine they belong to.
- Keep the hardware sealed between two cool rooms. In the monsoon the outdoor air is humid, and a machine coming off an air-conditioned floor is colder than that air.
That last point has a reason. IBM's guidance on acclimation explains that when equipment is colder than the dew point of the air around it, water can condense on and inside it. IBM's advice is to leave shipped equipment in its bag until it reaches room conditions, for 24 hours, and for a further 12 to 24 hours without the bag if condensation is still visible. That guidance was written for cold-weather shipping, but the physics is the same on a wet August Saturday: if any machine shows moisture, let it dry and settle before anyone powers it on.
What does the weekend timetable look like?
| Timing | Your team | Our crew |
|---|---|---|
| Three weeks out | Both buildings approve in writing: date, hours, gate, lift and loading point | Survey of both sites: gate width, turning room, lift, stair |
| Two weeks out | List of what is yours if leaving coworking; second weekend agreed with both buildings for a monsoon date | Labelling scheme by floor, department and desk |
| Weekday evenings | Staff clear personal drawers | Files, archives and spare stock packed and stacked |
| Friday evening | Backups checked; IT shut down in order | Desks and IT wrapped and labelled |
| Saturday, after 10 am | A facility contact at each gate | Loading, the drive, unloading by department, before 5 pm |
| Sunday | IT team reconnects network and servers | Reserve day if Saturday was lost to rain |
| Monday morning | Logins, printers and phones tested | Snag list closed |
Two to three weeks is a comfortable lead time for a mid-size office, and more if you need a particular Saturday. Stock or furniture that cannot go straight in can wait in our warehouse, and the service itself runs through our office relocation team. For a company crossing NH-48 to a tower, our Cyber City page covers that end; our branch in V Block, DLF Phase 3, is a short way from the estate.
What will a weekend office move cost?
Office moves are not on our published price list: one 40-seat office may be mostly laptops, another a floor of servers, cabinets and archives. The quote follows the survey and rests on four things: what is on the floor, whether the building has a goods lift or only stairs, how long the business can stop, and whether anything goes into storage between the two buildings. If e-waste is part of the clear-out, our Sector 32 office guide explains who may take it.
Key takeaway
In Udyog Vihar, settle the building type first, because it decides who approves the move, where the truck stands and what you actually take. Load inside the gate between the morning and evening truck windows, keep a second weekend for July to mid-September, and let any damp equipment settle before it is switched on.
Once you know the headcount, the equipment and both addresses, send them to us with the Saturday you have in mind.
This post is general information based on the dated reports and documents cited. Traffic rules, metro works and building procedures change; confirm the latest position with the traffic police and both buildings before you fix the weekend.
